Scope and responsibilities
We use account and contact information to operate Qovi Hotel and support our relationship with hotel customers. Hotels decide what guest and staff information they enter and are responsible for appropriate notices, permissions and other lawful requirements. When processing those hotel records, we act to provide services for the hotel.
Information we process
Information may include account usernames, verified recovery emails, hotel and staff details, subscription records, guest contact and billing information, reservations, rooms, invoices, recorded payments, credit notes and booking requests. Published website content may include hotel descriptions, contact details, logos, images and domains.
We also process information needed for authentication, security, administration, email delivery and support, such as session identifiers, administrative events and relevant technical logs. Do not enter unnecessary identity documents, payment-card credentials or secrets into notes or support messages.
Purposes and providers
We process relevant information to authenticate users, enforce access permissions, run hotel operations, publish requested content, deliver transactional messages, administer subscriptions, investigate problems and meet applicable legal obligations.
The service uses Vercel for hosting, Neon for database services and Resend for transactional email. Cashfree processes online subscription payments using your billing name, account email, mobile number and payment information. Qovi stores billing details and payment references, but does not store your card credentials. These providers receive information needed for their functions. Hotels may enable additional integrations or use externally hosted website images. Processing locations depend on provider services and configured regions; we do not promise India-only storage.
We do not sell hotel guest records. Information may be disclosed where required by applicable law or reasonably necessary to investigate fraud, protect security or enforce lawful rights. Public website content is visible to visitors when published; private guest records are not made public by publishing a hotel website.
Cookies and security
An essential session cookie keeps users signed in. Sign out on shared devices. Password-recovery and verification links expire after 30 minutes. Expiration does not mean all related technical records have been deleted.
Access controls and authentication measures help protect records, but no service can promise absolute security. Protect your own devices, passwords, staff access and integrations. On the Qovi Hotel commercial website, optional Google Analytics cookies help us understand page visits and website usage after you accept analytics. Google processes this usage information. Analytics is not loaded on hotel workspaces, account recovery pages or customer hotel websites. You can decline analytics or change your choice using Cookie settings. Your cookie choice is stored in your browser.
Retention and account closure
Active hotel records are retained while needed to provide the account service and meet applicable obligations. Subscription expiry alone does not trigger deletion.
An authorised account owner can request an export, account closure or deletion through support. We verify the requester’s authority and review the request against hotel instructions and applicable recordkeeping obligations. We confirm the handling of the request directly with the account owner. Cancellation of subscription access and deletion of records are separate actions.
The present service does not automatically purge account data at subscription expiry. There is no fixed automatic deletion deadline for operational records, logs, email records, support correspondence or backups. These are handled through the support process and provider retention settings. Ask support about the scope and timing of a deletion request before closing your account; we will identify relevant limitations or retention requirements.
Financial, tax, fraud-prevention and legal records may need to be retained for the applicable required period. Retention exceptions should be limited to necessary information and explained when responding to a request where permitted. Residual backup copies remain subject to provider retention and recovery arrangements rather than an immediate-deletion promise.
Requests and complaints
For guest information held by a hotel, contact that hotel first. For your Qovi Hotel account or our processing practices, email support@growwithtejas.com with the subject “Privacy request”. Explain the access, correction, export, closure or deletion requested and the relevant hotel/account.
We may verify your identity and authority before acting. Do not send passwords, recovery codes or identity documents with your initial request. Requests are subject to applicable rights, hotel instructions and lawful retention obligations. Address privacy concerns and escalation requests to Piu Chowdhury, Admin / Manager / Officer, at support@growwithtejas.com or our business address: Raja Ram Mohon Roy Road, Ward 15, Siliguri – 734001, India. This contact process does not limit any complaint or remedy available under applicable law.
